  1. What is PhoneTree®?

    PhoneTree® is a voice messaging system that makes outgoing phone calls to your desired list of contacts using the familiarity of your own voice and the telephone.

  2. How does it work?

    In just three easy steps PhoneTree® will start making your calls.
    • Select your list of contacts that you would like call
    • Record your message
    • Determine the time to begin calling

    Once you have completed these steps select the “Start Calling” button and PhoneTree® will begin to make your calls.

  3. How will I know the results of my call list?

    PhoneTree® automatically records the results of the phone calls it has made. Some of the information available is:
    • Calls answered by a person
    • Calls answered by answering machine
    • Calls Print your not answered • Call status data to your printer, to a file or email it.

  4. But what if it is not answered properly?

    PhoneTree® has the intelligence built in to determine if the call is:

    • Answered by an answering machine
    • Answered by a small child
    • Received a busy signal
    • Not answered

  5. What hardware is required?

    PhoneTree® hardware is a single box about the size of a telephone that connects to your existing computer through the USB port. It comes with the required software and a headset for recording your messages. In addition to the PhoneTree® equipment, all you need is:

    • A computer with Windows 98 or newer with a USB port
    • An analog telephone line which can be shared with a fax line or a modem.

  6. Can I plug the PhoneTree® into any telephone outlet?

    For the PhoneTree® to function it requires an analog telephone line installed in the port on the rear of the unit. If you have a telephone system in your office, you will need to contact your telephone service provider to ensure you have an analog telephone line and NOT a digital line.

  7. Where do I place the PhoneTree®?

    The PhoneTree® should be placed within 6 feet of the computer that will be running the software. The 6 foot length is the industry recommended standard for USB cables.

  8. Can we set the times that the PhoneTree® will make the calls?

    The PhoneTree® can be setup to call at different times, on different days, or not at all on certain days. This is all controlled within the product software.

  9. What if someone does not want to be called?

    The PhoneTree® has a built in feature to block calls. There is no need to remove the name from your list, PhoneTree® will check the blocked call list before it start making any calls.

  10. After I purchase the hardware, what additional fees are there?

    Once you own the PhoneTree® you never have additional fees unless you decide to renew your warranty or upgrade your existing system.

  11. Do you have a money back guarantee?

    PCS offers a 30 day, no questions asked, money back guarantee. If you do not like the product or it does not fit your application, we will refund your money if you are within the 30 day window.

  12. Will the PhoneTree® leave a message on an answering machine?

    Yes, The PhoneTree® was designed to detect an answering machine and wait for the beep to leave your recorded message.

  13. I would like to purchase a PhoneTree® USB system, but I am not sure if my computer is USB compliant--how can I find out?

    The best way to check and see if computer is USB compatible would be to read your owners manual. You must be running Windows 98/2000/ME/XP for your USB port to function correctly.

  14. Is there any way to get the service without the hardware?

    If you want to use the service but do not want the upfront cost of purchasing the hardware PCS has a solutions for you. my.PhoneTree®.com Internet site allow you to make your calls without the need for special software or hardware.

  15. Does PCS lease the product?

    PhoneTree® does not offer a leasing program.

  16. What is the PhoneTree® Pro and Lab?

    PCS designed the PhoneTree® Pro and the PhoneTree® Lab systems for the medical industry. These systems have significantly more features than the MVP and come with a higher retail price.

  17. Can I share the PhoneTree® with a fax machine?

    It is possible to share the PhoneTree® system with the FAX machine telephone line, but it is not recommended by PCS. The sharing of the telephone line will either slow down the number of completed PhoneTree® calls or it will be difficult for the FAX machine to send/receive data when the PhoneTree® is making calls.

  18. I can only get port 1 to work, what is wrong with the other ports?

    Most of the PhoneTree® systems that are sold by PCS are purchased with only one line. The other 3 ports are designed into the unit for future upgrades and enhancements. PCS has placed a sticker on the unit and circled the numbers if the unit contained more than 1 port card.

  19. Can you use the computer when the PhoneTree® is making calls?

    Yes, depending on the speed of your processor and the amount of RAM you have in your computer will determine how many applications you can run while you are making call with the PhoneTree®.

  20. Does PCS offer technical support?

    PCS offers a special telephone number for our customers to call and receive technical support (336) 722-0087. You can also receive technical support by emailing PCS at support@phonetree.com.

  21. How many calls can I make in an hour with the PhoneTree®?

    The number of calls that PhoneTree® will initiate and complete during an hour or day will be directly related to the Call Options or parameters that you set for a calling session. Those options include "Maximum Rings to No Answer," Max No Answers," "Max Length of Answering Machine Message in Seconds," "Star to Repeat," "Play Message Twice to Every Person," etc. Setting the "Call Options" is a key element in setting up a calling session and the call options should be reviewed on a regular basis to insure maximum performance. With the default setting you can expect to complete ~60 calls per hour. Dial (1s), 3 Ring (18s), Wait for Machine (30%x15s=5s), Redials (20%x20s=4s), Play (30s), Total=58s=60cph

  22. What types of files can I import?

    The PhoneTree® software will allow you to import files from a generic ASCII, Text format (.txt) and many of the popular church management software reports.

  23. What is Kids Zone?

    You can record an introduction that requires the listener to dial a 9 to hear the rest of the message. Most kids will call for their parents when they hear this recorded message. We repeat the message three times to give the parent time to get to the telephone.

  24. How difficult is it to install the equipment?

    There are 4 steps to installing your PhoneTree® and this will take you ~15 minutes to complete. Step 1 is to load the software from the CD ROM to your computer. Then connect the power cable from the AC power source (i.e. wall outlet, power strip) to the rear of the PhoneTree®. Next connect the USB cable to the PhoneTree® and then connect the other end to the computer. The last step involves connecting an analog telephone line to the #1 port on the PhoneTree®. You can repeat the last step if you purchased more than one port with your PhoneTree®.

  25. How long is the standard warranty?

    The standard warranty is one year on the PhoneTree® product. PCS has several programs for extending the warranty including the purchase of an extended warranty.

  26. Can I upgrade the PhoneTree® I have in the future?

    Yes, you can upgrade your PhoneTree® in the future. To upgrade from the PhoneTree® Plus to the PhoneTree® 2000 will require you to send in the unit for an exchange. Upgrading from the PhoneTree® 2000 to the PhoneTree® MVP is only a matter of a software upgrade.
